Procedures for Nominating Project Leap Board Members Drafted by Michelle Stone 3.22.10; approved by Project Leap Board on Purpose of Nominating Committee The purpose of the Nominating Committee is to recognize and seek qualified nominees for the elected leadership of Project Leap. Nominating Committee This committee shall consist of the current Project Leap President, two (2) active parent volunteer representatives (from either No member shall serve on the nominating committee for two consecutive years. In the event of discord among committee members, the Parliamentarian will mediate discussions. If the reelection of the Parliamentarian is the reason for discord among the members of the committee, the President will mediate committee discussions regarding that position only. The Nominating Committee chairperson is the Project Leap Parliamentarian. In the event the Parliamentarian position is not filled, the position will be appointed by the Project Leap President. Responsibilities of Nominating Committee - Committee members should have a broad acquaintance with the school population and an understanding of the organization’s function and its purposes within the school and community. - Serving on a nominating committee is an honor and a privilege. Because this committee deals with sensitive issues, deliberations of the committee are kept confidential. Committee members must understand the importance of discretion and integrity. - Committee members must have a willingness to devote required time and effort to the responsibilities involved. - Committee members must have knowledge regarding the qualifications necessary for the office to be filled as well as the responsibility of each office. Each member should have a copy of all positions and the duties and qualifications prior to the Nominating meeting. - Committee members must be able to give objective consideration to nominees, and use sound judgment and skill in evaluations. - Committee members must be aware of the qualifications and abilities of potential nominees. - When considering a person for any position, assure the person understands all of the duties of the position. It is the responsibility of the Nominating Committee Chairperson to fully explain the duties of the position to a prospective nominee. A copy of the position description and duties may be given to a prospective nominee. Only those persons who are eligible and have given their consent to serve shall be nominated for office. - The chairperson should contact each nominee and advise them to attend the election meeting and the installation of officers. - The chairperson must give a written report of the nominees to the Recording Secretary, signed by all members of the Nominating Committee. - The Nominating Committee continues to serve until the annual election meeting, at which time they will be discharged of committee responsibilities by the newly elected President. Board Member Election Procedure After the nominees have been chosen by the Nominating Committee, a ballot listing all the nominees who have been approved by the Nominating Committee and who have agreed to the responsibilities of the job, will be prepared by the Recording Secretary to send home with students. It is the responsibility of the Recording Secretary to coordinate the distribution of the ballots to the students. One ballot will be allowed per family of Lee Elementary. A letter explaining the election process, the deadline for ballots to be returned to Project Leap and the date of the installment of officers meeting will accompany the ballot. The meeting will be open to the general population of Lee Elementary. On the ballot, there will also be the option of writing in the name of a person who has not been presented to the Nomination Committee. In that case, the Nominating Committee will take the name under consideration and speak to the “written in” person to determine if they are eligible and willing to accept the responsibilities of the job. If this person is qualified for and agreeable to the job, and there is more than one name submitted for the position, a live vote will be held by the Nominating Committee to choose the winner, based solely on the experience and willingness of the individual to perform Board duties as described. This vote will take place prior to announcing any results for other positions. Once the ballots are returned, the Recording Secretary, Parliamentarian and Treasurer will tally the ballots. In the event of a tie, a live vote will be held the day of the meeting to install new officers. The live vote will take place prior to announcing any results for other positions. The President is allowed to vote in the tie vote only in the case of a tie. When the names of new officers are chosen, the President will discharge the existing board members, and charge the new Board members with their duties. Their duties become effective immediately upon discharge of the outgoing officers.
